When a U.S.-based Program is Cancelled: Announcement from the USAID RO
Following, is an announcement from the USAID RO from an email sent to all Visa Compliance System R2 Verifiers:
The purpose of this email is to remind everyone of the importance of updating TraiNet and the VCS when a U.S.-based program is cancelled. Updating our systems is important for our own reporting requirement, but also for communicating to SEVIS and the Department of Homeland Security when a planned program will no longer be taking place.
If a program is cancelled, and we do not update our systems and SEVIS, the proposed exchange visitor's record in SEVIS will become invalid 30 days after the planned start date of the program. This means that, should you wish to bring this individual to the United States at a later date, his/her record will have to be reinstated. Reinstatement requires submitting a series of documents to SEVIS and can include a processing fee of $198.
You need to remember to do the following when cancelling a U.S.-based training event or other exchange visitor program before it has begun:
- In TraiNet update the Current Trainee Status to – CANCELLED
- Transmit this change to VCS
- If you have received any DS-2019's for the EV, please return them to:
USAID | 1300 Pennsylvania Ave., NW | Suite 700 | Washington, DC 20004
If we all take care to update cancellations in the system, we can prevent administrative and cost burdens down the road.
Thanks very much.
James Nindel
Responsible Officer, USAID
