I need to track participant training data. How do I acquire TraiNet?

What technical support is available for TraiNet?

Technical support for deploying, configuring and using TraiNet is available through the USAID TraiNet/VCS helpdesk. You can contact the helpdesk via email at jvisa@devis.com or by phone at +1-703-527-4340.

How can missions, contractors, and grantees get TraiNet training?

Missions can contract with Development InfoStructure through the START IQC or through a Blanket Purchase Authorization (BPA) to arrange for on-site training. Please email the USAID TraiNet/VCS Help Desk if you wish to request information on contracting with Development InfoStructure.

Is technical assistance available to help implement TraiNet at the mission level?

Direct, on-site support is not provided as part of the general support, but Missions can obtain Devis' services either through the START mechanism or a Blanket Purchase Authorization that is already in place with USAID. Please contact the TraiNet/VCS helpdesk for more information.

What's the best approach for missions to use when implementing TraiNet with their contractors and grantees?

There are a variety of approaches that a Mission can take to implement TraiNet wiht contractors and grantees. The best solution depends on quite a number of factors. Several of the staff of the TraiNet/VCS Helpdesk have extensive experience in a variety of circumstances and can advise Mission on the best implementation strategy.

My mission does very little training. Do I have to use TraiNet?

Since FY99, all training data, including in-country and third-country, must be reported to Washington in TraiNet. If you do any U.S. based training, you must enter data into TraiNet as part of the process of requesting a J-1 visa for your participants. Please refer to ADS253 - Training for Development available here on the USAID web site for detailed requirements in tracking participant training data.

What if it is impractical or impossible for my contractors and grantees to run TraiNet?

TraiNet has been approved to replace some of the reporting that contractors have traditionally submitted on paper. If it is impossible or impractical for your contractors/grantees to run TraiNet you can continue to collect data by other means, but it must still be entered into TraiNet for submission to G/HCD.

Do in-country training programs have to be entered into TraiNet?

Yes. in-country training (ICT) data must be reported in TraiNet. According to ADS 253, Section E253.5.4 In-country Training: "Training data must be consolidated according to training program or sub-program, and must identify:

  • Subject area of training;
  • Total trainees per participant group, with gender breakdown;
  • Total cost of training for each program; and
  • Direct training costs (program costs, not overhead/fees)."

In Country training programs or sub-programs of less than 3 days (15 contact-hours) total duration need not be reported. If a Mission places large numbers of group enrollees in a one-day class, or otherwise finds that short-duration in-country training programs are having notable impact, it may at its own option record those trainees as well.

I have old TraiNet 1.x data. Can I convert it to TraiNet 2?

Yes, TraiNet 1.x data can be converted and used with TraiNet 2. Send a backup of your TraiNet 1.x data to the TraiNet/VCS Helpdesk and request that they convert it.

My contractors and grantees already have their training data stored in Excel, Access, or some other database system. Can it be converted to TraiNet?

The staff of the TraiNet Help Desk are not familiar with all of the systems, some of which are proprietary, that are in use by contractors and therefore need to see the specific data to be converted before offering an opinion on cost and feasibility. These are necessarily handled on a case by case basis.
